Introduction
Dependle AB (“Dependle,” “we,” “us”) is committed to protecting your privacy and being transparent about how we use cookies and similar tracking technologies on our web-based project management application and our commercial website. This Cookie Policy explains what cookies are, which cookies and tracking tools we use, why we use them, and how you can manage your preferences. We follow the requirements of the EU General Data Protection Regulation (GDPR) – under GDPR, providing clear information about cookies and obtaining informed consent for non-essential cookies is not just best practice, it’s a legal requirement. By using our website or app, you can choose which cookies to allow, and you can change your settings at any time.
What Are Cookies?
Cookies are small text files that websites place on your device (computer, smartphone, tablet) when you visit. These files contain a modest amount of data, often including a unique identifier, that help the website recognize your browser or remember information about your visit. In practice, cookies allow websites to “remember” your actions or preferences over time. For example, a cookie might save your login status so you don’t have to sign in on every page, or remember your language preferences. Cookies can only be read by the domain that set them, which means that our site can’t read cookies set by other websites, and vice versa.
We also use similar tracking technologies alongside cookies, such as pixels, web beacons, or tags (like the LinkedIn Insight Tag or Facebook Pixel), and local storage. For simplicity, we refer to all of these technologies as “cookies” in this policy. These tools help us collect and store information to improve your experience and measure the performance of our site.
First-party vs Third-party Cookies: Cookies set by Dependle (our domain) are called first-party cookies. Cookies set by external providers (for example, by Google or LinkedIn when their code runs on our site) are called third-party cookies. We use both types: first-party cookies for essential functionality and remembering preferences, and third-party cookies for analytics and marketing integration. Third-party cookies may send data back to the respective third parties as explained below.
Session vs Persistent Cookies: Some cookies are session cookies, which exist only while your browser is open and are deleted once you close it. Others are persistent cookies, which remain on your device for a set period of time (for example, a few days or months) or until you delete them. We use a combination of session and persistent cookies, depending on their purpose. For instance, a session cookie might keep you logged in during your visit, whereas a persistent cookie might remember your cookie consent preferences for a future visit.
Why and How We Use Cookies
We use cookies to make our website and app work smoothly, to improve them, and to help us with our marketing efforts. Different cookies serve different purposes, but broadly, our use of cookies falls into the following purposes:
Essential functionality: Certain cookies are necessary for our site and service to function properly. For example, when you log in to the Dependle app, we use cookies to maintain your session so you remain logged in as you navigate, and to protect your account security. On our marketing website, we use a functional cookie to detect whether you are currently logged in or have recently logged in to our app – this helps us redirect you to the right page (for instance, sending you straight to the app dashboard if you’re already authenticated). These essential cookies enable core features like account login, authentication, and secure access to user-only areas. Without them, our service would not work as you expect.
Analytics and performance: We want to understand how users interact with our website and application so we can make them better. To do this, we use analytics cookies that collect information about how you use our site – for example, which pages you visit, how long you stay, and which features you use. Importantly, the information collected by analytics cookies is anonymous and aggregated; it does not identify you personally. We analyze these usage statistics to identify trends (like which features are popular or if users encounter errors) and to guide our product development and improvements. For instance, we use Google Analytics – a web analytics service provided by Google – to gather usage data for both our marketing site and the logged-in app. Google Analytics may set cookies (such as
_ga
,_gid
) to collect information like your device type, browser, and pages visited. We have configured Google Analytics in a privacy-friendly manner for GDPR compliance (for example, by anonymizing IP addresses, so that the last digits of your IP are masked). These analytics cookies help us improve our services over time by understanding user needs better. They are not essential to the basic functioning of the site, which is why we only use them if you have consented to them.Advertising and marketing: Dependle also uses cookies to assist with our marketing and to reach people who might be interested in our services. Marketing and advertising cookies are used to track your online activity and browsing habits so we can show you relevant advertisements or promotions on third-party platforms, and measure the effectiveness of our ad campaigns. For example, we use Google Ads cookies and LinkedIn Ads (Insight Tag) cookies. These cookies remember that you’ve visited our site or used our app and can use that information to “remarket” Dependle to you – meaning you might see an ad for Dependle on Google Search, on websites that display Google Ads, or on LinkedIn after visiting our site. They also help us understand ad performance (for instance, if you clicked one of our ads and then signed up on our site, a conversion tracking cookie tells us that). Advertising cookies collect information like which pages you viewed, links you clicked, and information about your browser and device, and sometimes your IP address. This data may be combined with other information (like your LinkedIn profile if you’re logged in there) to target ads to your interests. We do not receive personally identifying information from these cookies ourselves – rather, they work by assigning a unique identifier to your browser and using that to deliver ads. In addition, we use HubSpot cookies as part of our customer relationship management (CRM) and marketing automation platform. HubSpot’s cookies allow us to know if you have visited our site before, to track interactions (such as pages visited, forms submitted, or emails opened) and to personalize our marketing to you. For instance, if you fill out a contact form on our site, HubSpot will use a cookie to remember you as you browse, so that if you return later, we recognize that you’re the same person who inquired earlier. These marketing cookies help us tailor our communications and offers, and ensure that our advertising budget is spent efficiently by showing ads to people more likely to be interested in Dependle. We will only set marketing/advertising cookies on your device if you opt-in and give consent.
Types of Cookies We Use
To make it easier to understand, here are the categories of cookies used on Dependle’s sites, with an explanation of each:
Essential Cookies (Strictly Necessary): These cookies are indispensable for the website and app to operate correctly. They enable core functions such as security, network management, and accessibility. For example, essential cookies keep you logged in as you move between pages, verify your identity when you perform actions in the app, and help us direct you to the appropriate content (such as redirecting logged-in users away from the public sign-up page). We also use an essential cookie to remember your cookie consent preferences (so that once you’ve made your choices, we honor them on subsequent page loads). These cookies do not collect information for marketing or analytics purposes – they are only used for providing the service you requested. Because they are necessary for the site to function, they do not require your consent under GDPR. However, we still want you to be aware of them for transparency. If you disable these cookies (for example, via your browser settings), parts of our site or app may not work (you may not be able to log in, use the service, or see content correctly).
Analytics Cookies: These are sometimes also called “performance cookies” or “statistics cookies.” They help us understand how visitors use our website and application. Analytics cookies collect information about how you interact with our site, such as which pages you visit, which buttons you click, how long you stay on a page, or if you encounter errors. This information is aggregated and anonymized – it cannot be used to identify you personally. For example, our analytics might tell us that “500 users visited the Features page this week and spent an average of 2 minutes there,” but it does not reveal who those users are. The sole purpose of analytics cookies is to improve our website and app functions by understanding user behavior. We use third-party analytics tools like Google Analytics for this purpose. Google Analytics sets cookies (like
_ga
) that have unique IDs to distinguish visitors and to throttle request rates (to ensure our site performance isn’t impacted). All data collected through these analytics cookies is used for statistical purposes and product development – to make Dependle more user-friendly and useful. We only set analytics cookies with your consent; on your first visit, they are disabled until you opt in. If you choose to disable or not allow analytics cookies, your experience on the site will remain the same, but we will have less insight into how to improve our services.Marketing Cookies (Advertising & Tracking): Marketing cookies are used to deliver content that is more relevant to you and your interests, and to measure the effectiveness of our marketing campaigns. These cookies may be set through our site by our advertising partners or social media platforms. They work by uniquely identifying your browser and device. Google Ads cookies (including Google Ads Remarketing and conversion cookies) and LinkedIn Insight Tag cookies fall into this category. For instance, if you click a Dependle ad on Google and come to our site, a Google Ads conversion cookie helps us see that you arrived via that ad and whether you took certain actions on our site (like signing up). This cookie expires after a set time (e.g. 30 days) and is not used to identify you personally – it simply tells us that “someone who clicked ad X later did action Y on the site.” Meanwhile, the LinkedIn Insight Tag places a cookie that informs LinkedIn that you visited our site, which may result in you seeing Dependle promotions on LinkedIn. It also enables us to get aggregate reports about ad performance on LinkedIn (for example, how many LinkedIn users visited our site after seeing an ad). HubSpot cookies also fall under this marketing category – they track visitors over time, allowing us to identify patterns and personalize follow-ups. For example, HubSpot uses a cookie to give each visitor an ID (so we know if the same person returns), and it can tie that ID to an email address if you fill a form. This helps us avoid sending generic marketing emails and instead provide information that matches your demonstrated interests. Marketing cookies might collect a range of data, including pages visited, referral links, and in some cases a hashed (anonymized) version of your email if you have provided one, to match with known users in our CRM. These cookies are only set if you consent to them – by default they are off for first-time visitors. If you do allow marketing cookies, the information collected may be shared with or accessed by the third parties that provide these services (like Google, LinkedIn, HubSpot) in order to enable the ad or tracking functionality. We ensure any such partners are GDPR-compliant and protect your data. If you disable or do not accept marketing cookies, you’ll still see advertising online – but it will be less likely to be tailored to you, and our own ads may be shown to you less optimally. You’ll also miss out on certain personalization features that we might provide on our site or in follow-up communications.
Third-Party Tools and Cookies in Use: For full transparency, here are the main third-party services we use that set cookies on our site, along with what they’re used for:
Google Analytics: (Analytics) Collects usage data (page views, clicks, etc.) to help us analyze how users use our website and app. Google Analytics cookies typically last from the session up to 2 years. We have enabled IP anonymization so that Google truncates your IP address within the EU before processing it. Google only provides us aggregate information. For more details, you can read Google’s own Privacy Policy and Google Analytics Cookie Usage documentation. (Note: We do not use Google Analytics for advertising features unless you consent, and we honor any “Do Not Track” signals to the extent feasible.)
Google Ads (including Ads Remarketing & Conversion Tracking): (Marketing/Advertising) Google Ads cookies allow us to measure when you have completed certain actions on our site after clicking one of our ads (conversion tracking). They also enable remarketing, which means Google can show you Dependle ads on other sites you visit later (if you have allowed marketing cookies). Google Ads cookies may track things like which ads you’ve seen, whether you clicked an ad, and what pages you visited on our site. This helps us optimize our advertising and avoid showing the same ads too many times. These cookies come from Google domains such as doubleclick.net (Google’s advertising platform). They typically have varying lifespans (some last 30 days, others up to 6 months or longer for remarketing). All data collected is used in accordance with Google’s privacy policies. You can opt out of Google’s personalized advertising at any time by adjusting your Google Ads Settings (this is effective if you have a Google account).
LinkedIn Insight Tag (LinkedIn Ads): (Marketing/Advertising) We use LinkedIn’s analytics and advertising tool on our site. The LinkedIn Insight Tag may set cookies (for example,
LinkedIn Insight
cookie) to track your visit. This allows LinkedIn to provide us with aggregated information about the effectiveness of our LinkedIn ads (such as what percentage of visitors who came from a LinkedIn ad ended up signing up for Dependle) and to enable retargeting (so that if you are a LinkedIn user, you might see our ads on LinkedIn after visiting our site). The data LinkedIn collects via the Insight Tag may include URL, referrer, IP address, device and browser characteristics, and a timestamp. LinkedIn assures that it encrypts this data, and the data is deleted after 90 days. We do not see your personal LinkedIn information – we only receive anonymous, aggregated reports. For more details, you can refer to LinkedIn’s Cookie Policy and privacy settings on LinkedIn. If you don’t consent to marketing cookies, the LinkedIn tag will not be activated on our site.HubSpot: (Analytics/Marketing) HubSpot is an all-in-one CRM and marketing platform that we use for managing our website forms, email newsletters, and customer communications. HubSpot sets several cookies to track visitors: for example, it uses cookies like
hubspotutk
to keep track of a visitor’s identity across sessions, and__hstc
to track sessions and page views. These cookies allow us to know if you visit our site multiple times and to connect your site usage with any information you choose to share with us (like your email if you download a whitepaper or sign up for a demo). Purpose: HubSpot cookies help us analyze web traffic and user behavior related to our marketing efforts (similar to analytics cookies), and they also help with personalization – e.g., pre-filling your contact info in forms if you’ve submitted something before, or tailoring content shown to you. HubSpot may also use certain cookies for its chat widget or to ensure we don’t show you duplicate messages. The data collected via HubSpot cookies may be stored in HubSpot’s systems (which could be in the USA or EU depending on their data hosting). We have configured HubSpot to respect your cookie consent choice: its tracking cookies will not run unless you opt into the analytics and/or marketing category (as HubSpot’s tracking serves both analytics and marketing purposes). For more information, you can read HubSpot’s own explanation of the cookies it sets and HubSpot’s Privacy Policy. If you opt out of these cookies, you can still use our website, but we might not remember you from a previous visit and some personalized features (like our chat support remembering your past questions) may not work.Google Tag Manager: This is a tool we use to manage and load other scripts on our website (such as the Google Analytics and Ads scripts, LinkedIn tag, etc.). Google Tag Manager does not collect any personal information itself. It simply helps us organize and deploy the other cookies and tags in a compliant way. For example, our Tag Manager is configured to only fire certain tracking scripts after you’ve given consent. If you disable analytics and marketing cookies, those scripts will either not load or will load in a no-tracking mode via Tag Manager. Essentially, Tag Manager is an essential utility for us to implement cookie consent properly.
(Note: Besides the tools listed above, if we introduce any new cookies or tracking tools in the future, we will update this policy accordingly. For instance, if we start using a new analytics provider or a social media plugin that sets cookies, we will add it to this list. We aim to keep this policy accurate and up-to-date. Last updated: July 2025.)
Your Consent Choices for Cookies
Your privacy is important to us, and we want you to have control over how your data is used. When you first visit our commercial website, you will see a cookie consent banner. This banner allows you to make a choice about which categories of cookies you want to allow:
You can accept all cookies (which means you agree to allow analytics and marketing cookies in addition to the essential ones).
You can reject all non-essential cookies (which means only the essential cookies necessary for the site to function will be used, and analytics/marketing cookies will remain off).
You can also customize your choices by, for example, allowing analytics cookies but not marketing cookies, or vice versa. Our banner has an option to toggle each category (Analytics, Marketing) on or off according to your preference, a concept known as granular consent. We do not use any pre-ticked boxes or default opt-ins – all non-essential cookies are disabled by default until you actively consent, in line with GDPR’s requirements for explicit consent.
We will not set any analytics or marketing cookies on your browser unless you have given us consent via the banner. Essential cookies, as described, will be set regardless of consent because they are needed for basic functionality (our legal basis for using essential cookies is our legitimate interest in operating a functional website/service, or fulfillment of our contract with you to provide the service). For all other cookies, the legal basis is your consent. You have the right to withdraw your consent at any time.
If you have made a selection on our cookie banner and later change your mind, you can easily update your preferences. You can change your cookie settings at any time by clicking the “Cookie Settings” link on our website (for example, this link is available in the footer of the site and/or accessible through the cookie banner icon). This will reopen the consent preference center, where you can adjust your choices (e.g., disable a category you previously enabled). Any consent you give is stored in a cookie on your browser so that our site remembers your choices for future visits – that cookie itself is treated as essential (since it’s needed to remember your privacy preferences).
If you withdraw consent for a category of cookies (or if you decline cookies from the start), those cookies will no longer be set on your device. For cookies that were previously set (from when you initially consented), we will not use or read them anymore once you opt-out. You can also delete them manually (see Managing Cookies via Your Browser below for instructions on deletion). Keep in mind that withdrawing consent for analytics or marketing cookies does not affect the lawfulness of any data processing that occurred while you had previously consented; it only stops future data collection by those cookies. Also, note that if you had provided information through one of our forms or signed up for our service, that information is stored in our systems (as part of our CRM or user database) and isn’t erased by disabling cookies. If you wish to exercise data rights like accessing or deleting personal data you’ve given us, please see our Privacy Policy for how to do that – this Cookie Policy is mainly about cookies on your device.
In summary, we strive to give you simple and meaningful control over cookies on our site. Your consent will be requested when you first open our website, and you can always adjust your choices later. We believe in “no surprises” – we won’t sneak in new cookies without informing you and getting consent. This policy aims to clearly explain what each cookie does so you can make an informed decision.
Managing Cookies via Your Browser
In addition to using our website’s consent tools, you have the ability to control and manage cookies directly through your web browser settings. Most modern browsers provide options to view, delete, and block cookies. Here are some general ways you can manage cookies in popular browsers:
Cookie Notifications/Blocking: You can set your browser to notify you when a website is trying to set a cookie. This way, you can choose to accept or refuse cookies on a case-by-case basis. Alternatively, you can configure the browser to block third-party cookies (cookies set by parties other than the site you are visiting) or even all cookies. Blocking all cookies may break some site functionality, but blocking third-party cookies can be a useful middle ground for many users.
Clearing Cookies: You can delete cookies that are already on your device. In your browser settings (often under Privacy or History), find the option to clear browsing data. Make sure the option for clearing cookies and site data is selected, then proceed. This will remove cookies stored up to that point (note: doing this will log you out of most websites, since session cookies are typically cleared too).
Do Not Track: Some browsers offer a “Do Not Track” setting that can send a signal to websites indicating you don’t want to be tracked. However, honoring this is optional for sites. Dependle currently honors “Do Not Track” signals for marketing cookies (we do not set marketing trackers if we detect DNT enabled), but we still ask that you explicitly opt out via our banner for completeness. In any case, the cookie banner choices you make on our site will override DNT (i.e., if you consent to analytics via our banner, we will assume that is your intent, even if DNT was on).
Please note: If you disable or block cookies via your browser (especially if you block all cookies including essential ones), our website and application may not function as intended. For example, if you block essential cookies, we cannot maintain your login session, and you might be repeatedly asked to log in or your actions might not be saved. Some preferences might also be lost (since preferences are often stored in cookies). Therefore, we recommend using our granular on-site controls to manage non-essential cookies, and only using browser-level blocking for more general or third-party cookie control.
For instructions specific to your browser, you may consult the help documentation or support site for that browser. Here are links to cookie management instructions for popular browsers for your convenience:

You can also visit www.allaboutcookies.org for more general information about cookies and how to control them. This site provides detailed guidance on how to remove cookies for a variety of browsers.
GDPR Compliance and Your Rights
Our use of cookies and handling of the data collected through them is done in accordance with GDPR and applicable privacy laws. Under GDPR, we rely on consent as the legal basis for processing data via non-essential cookies (analytics and marketing). That’s why we explicitly ask for your permission before enabling those cookies. You have the right to refuse or withdraw consent at any time, as described above. For essential cookies, our legal basis is our legitimate interest in ensuring our website and service work properly (since these cookies do not disproportionately impact your privacy and are necessary for the service). We ensure that any personal data possibly collected through cookies is handled in accordance with our Privacy Policy, which covers aspects like data retention, international data transfers, and your rights (access, deletion, rectification, etc.). In practice, the cookies we use are designed to minimize privacy impact (for example, by anonymizing data whenever possible. We do not collect sensitive personal data via cookies.
If you have given consent for analytics or marketing cookies, you have the right under GDPR to withdraw that consent at any time (which you can do via our site as explained). Withdrawing consent will stop further data collection by those cookies, but it won’t retroactively delete data that has already been collected. If you want to exercise any of your data protection rights with respect to data we’ve collected (for example, to access data that we might have in Google Analytics or to ask us to delete your contact record from HubSpot if you provided one), please contact us (see Contact Us below). We will assist you in accordance with applicable laws.
We also ensure that our third-party partners (Google, LinkedIn, HubSpot, etc.) have committed to GDPR-compliant data practices. For example, data collected by Google Analytics is stored in a pseudonymized manner and Google acts as a “processor” under our instructions; LinkedIn only provides us with aggregated data about ad performance; and HubSpot’s data processing addendum includes the EU Standard Contractual Clauses for lawful data transfers. If you’d like more detail on any of these, we encourage you to read the privacy policies of those services or reach out to us with questions.
Updates to this Cookie Policy
We may update this Cookie Policy from time to time, for example to reflect changes in the cookies we use or to comply with new legal or technical requirements. If we make significant changes, we will notify you either by an informative banner on our site or via other appropriate means. However, we encourage you to review this policy periodically to stay informed about how we use cookies. The “Last updated” date at the top of this policy indicates when it was last revised. Any changes will become effective once posted to our site (and of course, we will not use any new cookies in a manner inconsistent with your consent without obtaining new consent). By continuing to use our site after any revisions become effective, you will be subject to the new policy.
